Programmed Centralises Management Of 18,000 Vendors With Boomi Platform

Australasian staffing, operations and maintenance services provider Programmed has overhauled its vendor data management using the Boomi Enterprise Platform, establishing a centralised system across compliance and operations for more than 18,000 active vendors.

The project, implemented with Boomi partner Adaptiv, connected Programmed’s vendor onboarding, compliance and financial systems through Boomi’s Data Hub and Integration capabilities alongside Rapid Global as the vendor onboarding and compliance platform.

The Vendor Data Problem

Programmed delivers facility management, property maintenance, training and workforce solutions to over 10,000 customers across industries including mining, government, education and infrastructure.

At that scale, vendor information functions as operational infrastructure. But with data split across business units and applications, the company faced growing issues with consistency and compliance.

Without a single source of truth, vendor selection was harder than it needed to be and compliance checks were being repeated across separate business units. Small data problems could compound into operational risk.

Gary Gietzmann, Head of Procurement at Programmed, outlined the challenge.

“We needed vendor data to be consistent across onboarding, compliance, finance and operational systems – removing duplicated compliance checks and conflicting records – while giving every team a near-real-time view of vendor status,” he explained.

Building The Foundation

Programmed engaged Adaptiv to implement Boomi’s Data Hub and Integration capabilities as part of what the company calls the Rapid Project, using Rapid Global as the vendor onboarding and compliance platform.

Philip Durrant, Principal Consultant at Adaptiv, noted that Boomi’s combination of integration and master data capabilities aligned with Programmed’s requirements.

“The platform enabled us to address Programmed’s immediate vendor data challenges,” he remarked. “We could see from the outset that placing the vendor record at the heart of the solution would create a governed, unified foundation, laying the groundwork for a scalable, connected architecture that can grow alongside the business.”

How It Works

Boomi Data Hub now acts as the master data management backbone for Programmed’s vendor records. Key profile information including compliance status, certifications and insurance is governed through a central golden record.

With near-real-time updates across systems, teams no longer need to reconcile mismatched records or determine which application holds the current compliance position. Data Hub’s quarantine capability automatically detects and isolates inconsistent records from upstream systems before they can spread, acting as a safeguard against silent data errors in day-to-day operations.

Boomi Integration has connected Programmed’s vendor lifecycle across core systems including Rapid Global for onboarding and compliance, Microsoft D365 Finance and Operations for ERP and financial processing, and downstream work order management platforms for procurement and operational delivery.

Results On The Ground

Gietzmann pointed to reduced manual effort and improved visibility as key outcomes.

“The result has been a connected business process, with vendor information now moving across systems with far less manual re-keying,” he noted. “Compliance and procurement teams spend less time checking, copying and reconciling data, while operational teams have a clearer view of vendor status, giving them greater confidence in their decision making.”

Under The Hood

Much of the technical complexity sat beneath the surface. The D365 Finance and Operations integration needed to coordinate key vendor data – often with multiple instances per vendor – generating hundreds of API calls per execution and tens of thousands during initial load.

Adaptiv used Boomi Event Streams to decouple batch results so each vendor could be handled in its own execution, reducing API calls per execution, simplifying monitoring and making troubleshooting easier. The same approach was applied across other integrations where decoupling added value.

Gietzmann described the platform as a solid foundation for the company’s vendor data going forward.

“By reducing manual effort and enhancing data quality, we’re seeing clear business benefits,” he added. “It also reflects the value Adaptiv brings as a partner, supporting both product selection and solution design and working with us to drive practical, lasting outcomes.”

A Reference Point For The Business

With further integrations planned, the Rapid Project has become a reference point within Programmed for effective digital transformation – supported by governed data, reusable integration patterns and a platform built to grow with the organisation.

David Irecki, Chief Technology Officer, APJ at Boomi, commented on the project’s broader significance.

“Programmed has demonstrated that when vendor data is governed and connected across the enterprise, the benefits extend well beyond a single team or system,” he observed. “In partnership with Adaptiv, Boomi helped Programmed build a vendor data foundation that gives their teams the visibility and confidence to make decisions across compliance, procurement and operations.”
