A business may achieve high sales figures, yet if customer payments are not received on schedule while payment obligations must still be met, operational activities can be adversely affected.
The key behind doing a business is cash flow, that is a crucial aspect of operations. Cash availability is essential for supporting day-to-day business activities. Not every successful business with many loyal customers has good cash flow to pay employees, electricity, and any kind of expenses at the right time. That is why every business owner should know effective understanding of cash flow management, it enables business owners to gain a more comprehensive understanding of their business’s financial health.
If your business has good cash flow, it gives you greater control over your finances and also helps them make more informed decisions about ‘how available funds are allocated’. Every business owner should know to maintain distinction between essential expenses and discretionary spending, keeping financial decisions under control for business operations or other personal transactions such as made through M88.
Understanding revenue, profit and cash flow
This is the first stage to understand differences between revenue, profit and cash flow. Total sales generated within a specific period is a simple definition of cash flow. For instance, if your business records sales of $4 million, then the revenue is $4 million.
Deducting costs from revenue, it is called profit. Profit is the gain remaining after deducting costs from revenue. However, profit does not necessarily translate immediately into cash if a portion of sales remains as accounts receivable. Cash flow, on the other hand, tracks the actual money entering and leaving the business. This determines whether the business has sufficient funds to cover operational activities.
In other words, profit reflects a business’s financial performance and serves as a benchmark for assessing a company’s efficiency and profitability. Beyond merely reflecting the final outcome of business operations, profit also forms the basis for strategic decision-making, such as:
- Expanding business into new markets
- Setting product selling prices
- Distributing dividends to shareholders
Record all Income and expenses
A lot of businesses struggle, not because they have no customers – but due to disorganized financial record keeping. For example mixing incoming and outgoing funds, failing to record small transactions, or relying solely on memory. Record all the cashflow is easy. You can use simple spreadsheets/ excel, financial apps, or accounting software. Do it online so the other person in business can stay in touch with the records and type source of income, expense, amount, and transaction details. Proper record-keeping allows business owners to track the cash flow transparency.
Create a monthly operational budget
Good cash flow includes operational planning, because it helps business owners control expenses. You can start with fixed costs from variable costs such as rent, employee salaries, software subscriptions, loan installments. But if your business fluctuates based on activities it is called variable costs which include advertising, raw materials, shipping costs, and commissions.
Accelerate customer payments
Many people avoid our invoices, that is why cash flow disruptions are always happening. They may order and it seems the sales number is good but it has not yet reached our business account. As a business owner you have the right to establish clear payment policies. You can require down payments before giving product/ services, set specific due dates, and send invoices promptly. Also adding convenient payment methods that customer can access easily.
Control unproductive expenses
Every business has potential to grow as long as you use funds for essential needs. You can use capital for purchasing raw materials, paying employees, and promotions. But the big question is “are they essentials for my business today?”.

Social media or internet ads might be useful for your business’s visibility, but if you can do word-of-mouth promotional methods it could be cheaper to introduce your business. Raw materials are also important to your business but you also need to compare store-to-store to find the cheaper materials. Also calculate shipping costs and how easily you can obtain the item.
Your business needs employees, but too many employees is also not productive for business. You can lose your profit margin because you have to spend a lot of money to pay employees. Make sure what kind of employees you need, freelancer or full-time. If you hire a full time employee, you should pay their public insurance and make sure you pay them 12-13 times a year. How many hours do they have to spend at the workplace? Is it effective to hire a full time employee?
Those are important because unproductive expenses cost a lot of cash, efficiency, or business growth. Make sure you evaluate expenses regularly.
